Playbook 1- The Ultimate Clinic Closer Playbook
I just finished writing the first Playbook of my life and it feels awesome. For the past six months I've been reading and watching a lot of marketing content- including books, videos, Hormozis, Brunsons, and Goldens, and of course some Neil Patel. But more than anything, I've been learning about creating and refining sales funnels, sales flows, and selling strategies.
Good part- I had already been doing a lot of this for the past twelve years since I started freelancing in my second year of engineering and these books are validating, polishing, and updating my knowledge to create better success for my customers.
One such customer interaction encouraged me to write this Playbook.
Motivation/necessity/hunger
May 2026, I started cold calling Skin clinics near me and closed my first one on the second call that I made. It felt terrific as this was the first time in my 12 years old marketing career when I found a lead, booked a meeting, pitched my offer, closed the deal, collected the cash, and integrated my product into the clients' system- all on my own!
So yes, that was one win that's personal to me, even though I closed three more from cold calls and four more from email outreach after that.
Anyway, the next day I drove down to the clinic to analyze what all I can improve to help them pump up the revenue organically.
Here's what I noticed-
- the sign board on the front door- it in no way spoke what the clinic did
- the reception and waiting hall lacked professionalism as the staff was occupying one of the sofas
- products on the shelf don't speak what they do- there's no categorization
And a few other bumps that I knew I could iron out easily.
What I could not fix instantly was the way the receptionist responded to the incoming calls.
I was running Google Ads for their local keywords. Every single call was costing them ₹199 and the receptionist was only able to take care of hardly 2 out of 5 callers who were showing interest in the services and could have brought in profits.
And it hit me hard and bad (I'd have cried here) when I heard this conversation-
P: Hello, is this YouZ Clinic?
C: Yes, how can I help you?
P: I wanted to inquire about your laser hair treatment. What are the prices?
C: Yes, we offer laser hair removal and we charge ₹50,000 for a one year package.
P: Okay, but I don't want a year package. What's the price for one session?
C: Okay ma'am, it's ₹3,500.
P: Okay, thank you.
C: Okay, sure bye!
Now, I am no Jordan Belford at selling- I'm definitely learning everyday by taking more calls and scraping leads. But I see open ends when they are this big. At this point, I was more concerned about the sales watering down due to a lack of process than the campaign not performing optimally.
So, I sat down working on the perfect calling script that would make the most number of callers book on call, pay on call, and be excited to walk-in from that glass door. And I wrote this-
C: "Good morning, YourCare Clinic, Lajpat Nagar. How can I help you?"
P: I wanted to inquire about your ___ procedure.
C: "Sure, I can help with that. May I take your name and the best number to reach you, in case we get disconnected?"
P: Sure. (shares their number or says it's the same one I'm calling from)
C: "Okay, perfect! May I know the concern you are looking at?"
P: Explains what's up!
C: "Alright, I understand. (Ask at least three specific questions regarding their concern)."
Question examples-
Can you tell me your age?
Okay, and how long has it been since you've been facing this concern?
Okay, and have you tried anything specific to resolve this concern?
The more they answer you, the more excited, curious, and hopeful they get thinking you can help them. Also, when they answer you, instead of you chasing them, they build a subconscious commitment towards the clinic, plus, they realise if they go to another clinic after this, they'll have to spend the same amount of time, answering the same questions they just answered you with, and if they still go to another clinic and that clinic does not ask these questions, they will subconsciously disqualify that clinic.
C: "Okay, now, since I have the exact details, we can proceed further with your appointment. It's ₹999 at the clinic, and ₹599 when you pay on call. Is {next available slot} a good time?"
If they say yes-
book it right away and say-
C:"Great Mr/Ms/Mrs {name}, your appointment is now booked for {date + day}, ___ am/pm. How would you like to complete the payment? We support UPI and cards for on-call payments."
Based on the payment mode they choose, share the details- Send the UPI ID/QR Code screenshot (not a picture of the physical code stand) or a card payment link.
If they ask what happens when they can't come-
C: "The amount stays valid. We can move your appointment to any date within one month."
Wait for the confirmation. After confirmation, say-
C: "Thanks Mr/Ms/Mrs {name}, we have received your payment. We are looking forward to seeing you at the clinic. Meanwhile, we will send you 5 pre-appointment questions, so your meeting with the doctor is most effective."
*If a caller objects and says they can only pay at the clinic, say this-
C: "Okay Mr/Ms/Mrs. {name}, in that case, I can give you a coupon code, which you can share with the reception to proceed with your 599 consultation." (confirm if their phone number is on WhatsApp, if yes, send the code- BellaSoul599).
They say yes-
C: "Okay Mr/Ms/Mrs {name}, just to confirm, is this your WhatsApp number?
If yes-
C: "Okay, I'm sending you the coupon code that you can use to book your consultation at the clinic. This code remains valid for 24 hours, so whenever you come before that, you can use this code."
(add in the spreadsheet that you have given this person a coupon code which is valid by {date, day, time}.)
If they say no to the proposed appointment time-
give them two more slots
Say-
C: Okay, so, can we do ___ am/pm {date, day} or ___ am/pm {date, day}?
If they still request for a specific time, say this-
C: "Sure Mr/Ms/Mrs {name}. I'll need to take a quick look at the calendar. Can I put this call on hold for 90 seconds?"
They'll mostly say yes only. In that time, quickly check if that slot is available, if it is, give it to them. If it's not, give them 30 minutes before or after.
On call-
C: "Hello Mr/Ms/Mrs {name}. I just checked, the slot at {date + day}, ___ am/pm is available. Should I proceed further to book it?"
If they ask the price-
C: "It depends on the area and how many sessions you need, so the doctor confirms that after seeing you. {treatment} starts at around ₹___ per session. The consultation is where you get the exact plan and the final understanding of your results."
C: "Great Mr/Ms/Mrs {name}, your appointment is now booked for {date + day}, ___ am/pm. How would you like to complete the payment? We support UPI and cards for on-call payments."

After I wrote that script and trained the staff around it for the first time, I felt at the top of the world- a new clinic I'm working with, a fresh problem I'm solving for them, an amazing result that's just about to show up!
But, that's the beauty of imagination- it deludes you into believing that you are doing everything right at all times.
After I saw that bookings were still not taking place as expected, even after my perfect dreamy script, I had to take a step back and read it again and again.
After spending two nights reading the script (of course in breaks), I found something that made me feel like we were hitting a wall with our heads making this one mistake.
