How to Get More RFQs for Your Pumps and Valves Business

10 min read

Out of the 30 years I have spent on this planet, I have spent at least 25 of them listening to sales, engineering and marketing conversations about pumps, valves, mechanical sales, chemicals and other engineering paraphernalia.

I have seen these conversations happen on corporate tables and at dinner reservations. At weddings. On long drives. Across interview rounds. At team lunches.

I am a 30-year-old chemical engineer and the founder of a marketing company. I grew up around my father managing sales and marketing for multiple pumps and valves manufacturing companies across India.

Selling to the top government refineries, to PSUs, and to the manufacturing plants that most chemical engineering equipment manufacturers want to be added to the vendor lists of.

That has taught me a great deal about marketing to and selling to businesses in this industry.

On top of it, 13 years of marketing experience has taught me what works for lead generation and what does not. Using all of that knowledge I have generated over a million dollars in revenue through marketing.

What this series covers

I am going to tell you what works best for generating leads for pumps and valves manufacturing businesses in 2026.

This is not limited to conferences, exhibitions, referrals, or the sheer hope that somebody will walk in through that door looking for the products you are making and selling.

So let's move ahead.

First thing- email wins the race

If generating a lead next week is your goal, email outreach is the best and the quickest way to go about it.

The idea behind writing and sending emails to your prospects is to be seen by them at the earliest hour, while offering them a solution that can actually take away their pain. Or that instantly gives them hope of solving a problem they have been facing for a while.

Or that offers an alternative to an old method they may have been using, which may be either irrelevant or completely inefficient for achieving the goals they are trying to achieve with some other product.

What that looks like in practice

For example, if your company manufactures butterfly valves, the best way to get a response to your email outreach campaign would be this.

Check what exact problems butterfly valves are solving for businesses like the ones you want to sell to. Your potential buyers.

Then see in which way your butterfly valve can solve that problem even better. By increasing efficiency. By reducing cost. By boosting their final output and growing their profit.

The goal is to find something that instantly clicks with the person receiving the email. Something that is not vague, and is a proven, desirable result that your prospect is either already looking for or would definitely be interested in learning more about.

The goal is never to sell on the email

Understand that the goal is never to sell on the email, because that is hardly ever going to happen.

The goal of writing and sending emails to your potential buyers is to get a meeting. To book a meeting with them, so that you can demonstrate how your product works better than your competitors'. And how your product solves the problems or challenges they may be facing right now.

The six things a reader feels

And once you are able to do that, the receiver will feel one of these things-

  1. Ignore.
  2. Don't care.
  3. Overlook completely.
  4. Too busy to read.
  5. Will read later.
  6. Opens -> reads -> hmmm, this sounds alright. I can check this out.

And of course, there are a number of other feelings that may not all be relevant to us.

Our target is the last category. That's our people. That's the crowd we are looking to stumble upon.

And the right email campaign will do just the thing for you.

Booking a meeting- that's all you need to do on email.

Second thing- show up where your buyers are searching

The second thing you can do to get more RFQs for your pumps and valves business is to build your online presence.

I have heard so many traditional engineering manufacturers, business owners and their managers alike, say this-

"This product is not sold online. People don't even look online for products like these."

The reality is the exact opposite. Check out my last blog, where I talked about the number of searches for these keywords across India.

Those numbers clearly show that people are searching for these businesses on Google, and on AI as well.

When you are not showing up for these terms, you are missing out on a huge chunk of potential customers. People who came to Google looking for a manufacturer like you, and then went with somebody else. Not because they had a better product, but only because they were the only business visible on Google.

And you chose to sit back and ignore this growth channel completely, just because you think it doesn't work in your industry.

So if you, too, are in the state of mind that nobody goes to Google while buying products like yours- congratulations. You are missing out on a huge business opportunity.

And I would like to change that for you.

Here's what you can do, starting today

  1. Go to this blog post of mine, where I talk about the search volumes for different engineering equipment.
  2. Download the sheet at the end of the blog.
  3. Open the sheet on your computer and find the keywords relevant to your manufacturing business.
  4. Think of 10 to 15 questions related to these keywords that a potential buyer of your products may be asking Google or AI.
  5. Start writing honest, detailed answers to these questions, and publish them on your website's blog section every alternate day.

Do this for at least 3 months.

Keep finding new topics and questions you can answer, ones that help your potential buyers make an informed decision and then purchase.

And then come back to me, and see how things have changed.

P.S. When you do all of this, don't forget to install Google Analytics on your website. Otherwise, you won't be able to track how many users are coming to your website.

I also highly recommend setting up event tracking in your Google Analytics profile to track conversion events, including form sign-ups, newsletter sign-ups, or even comments. RFQs can come from those places as well.

P.P.S. Make sure to add a contact form on your contact page, about page and homepage, so any potential buyer who is interested in your products can reach out to you with their queries and contact details.

Third thing- create YouTube content

10 out of 10 engineering equipment manufacturers who are doing well on the internet are creating YouTube content. Consistently.

This content is mostly about the way their machines work. The way their equipment solves problems, at a small and at a large scale. And the way their precise engineering and technology make further engineering processes easier, more efficient and more lucrative for the end users.

Ideally, posting one long-form video every 15 days and one short-form video every 3 days is a very good way to start building your online authority around topics related to your products.

This authority adds up over time and helps improve your search engine rankings. So the blogs and other content pieces you created in the previous step also start showing up in search results for your relevant keywords, bringing you more traffic from search engines and from YouTube.

And all of these factors compound again to give you better rankings in AI search. So platforms like ChatGPT, Perplexity, Gemini and Claude also start recommending you to people asking questions about the problems you are solving.

And you know what that means?

More and more people visiting your website. Viewing your content. Going through your product imagery and learning about your equipment. And sending you requests for quotes, so you can connect with them later and explore business opportunities.

P.S. Share these videos on WhatsApp from time to time. It keeps your active leads warm. The more they see you and your products on their WhatsApp and in their stories, the more they know that you are still an active equipment manufacturer they can consider any time they need more products.

Fourth thing- PR

Since we are trying to show up at all the important places, digital PR, done correctly, can boost your topical authority. It can establish you as an industry leader, as per your brand and positioning.

For example, say you want to be known for making the most perfect mechanical seals.

The right kind of PR, backed by the content strategy we built in the second step, along with regular video content going out on YouTube and perhaps your LinkedIn profiles, will make you show up more and more in search engine and AI results.

That increases your chances of already being known by the prospects you are about to reach out to. It also increases your chances of receiving more RFQs, since more and more people will be able to find you through Google and AI search, and learn about your products through all these important channels.

How all of this helps you rank

Any search engine, including Google and Bing, wants to give the best results to its users. The people searching for a specific term.

Let's say, "mechanical seal manufacturers in India".

Google is supposed to show these users the most relevant, the most authentic and the most reliable manufacturers of mechanical seals across different regions of India.

So while going through hundreds of thousands of websites, search engines pick the one with the highest authority. And not authority just as a metric, but with context.

So picture this.

Your website talks about making the most perfect mechanical seals, and answers the questions that mechanical seal buyers across different industries may be asking Google or AI.

Your YouTube channel talks about mechanical seals, and how to make the most of them while installing them inside any system. Or, for that matter, answers the most important questions your buyers may be asking.

The same kind of content goes out on your LinkedIn profile and your company's LinkedIn page. And people talk about your company and its products in the comments.

Several PR articles talk about your company and its mechanical seals being so perfect, in various ways, answering questions other business people may be looking for answers to.

And different websites talk about your company, its mechanical seals, and how these products have helped other companies achieve their desired results.

All of these factors, and several others as and when they come up, contribute towards your website, your LinkedIn profile, your PR articles, your YouTube channel and every other channel you are present on ranking higher on Google and AI, whenever somebody looking for a product like yours makes a search.

And that, ultimately, is the goal.

That is pretty much all you need to do to start getting more RFQs through the internet for your equipment manufacturing business.
